Subject: Re: [GOOGLEAPPS] Migration of students to alumni best practices

Hi Bruce, Answers below:

1. Do you offer alumni access to their student mail and if so do you move your alumni to a new domain?

Yes and yes. We have a separate Google apps instance for @alumni.uah.edu.

2. If you move them to a new domain, how (or) do you change ownership/move any Docs that they have?

We provide an in-house written web tool to migrate mail, contact, calendar and docs. They login and choose any/all and click "copy over now".

3. Do you do anything to migrate calendars?

    Yes, they initiate. See #2.

4. Do you use GAMME (or other tools) to migrate mail and if so how soon after graduation do you migrate their accounts?

#2. They initiate the copy over.

5. General experiences/comments with offering Google apps for alumni

Only major rub is their email domain changes from [log in to unmask] to [log in to unmask] We ask them to use out of office, forwarding, etc., ad PR wise we tout that to be an alumni you had to have graduated.

6. What are adoption rates for alumni moving?

    About 25%.

We run a process after each semester to query our SIS system to get a list of all graduates for the most recent semester, in batch create their @alumni accounts and email them login info. We also send the list to the alumni office who uses it to create "class of xyz" Google groups.

The alumni office also has admin rights to the domain so they sometimes manually create accounts for long ago alumni upon request, and also take care of password resets. They also highlight the perks of keeping a lifetime EDU address, primarily vendor discounts. For example, Apple and MS discount software/hardware when you use an @edu email to order.

Once we batch create alumni accounts and give the info to the alumni office, central IT is done. Other than any data migration issues that might come up when they use our web based migration tool. Usually re-enabling their @uah account because they waited more than a year and it was suspended.
